Tally has served Indian businesses well for two decades. But as businesses grow and mobile access becomes essential, Tally's limitations become increasingly painful:
Cloud ERP solves all these limitations. But the migration feels intimidating to many business owners: "What if I lose my data? What if something goes wrong?"
This guide shows that migration is simpler than you think — and how to do it with zero data loss.
You don't need to move everything. The most valuable data to migrate:
Must migrate: - Customer master (name, address, GSTIN, contact) - Supplier master (name, address, GSTIN, contact) - Product / item master (name, HSN code, unit, GST rate) - Opening stock quantities (current stock levels per product) - Opening balances (customer outstanding, supplier outstanding)
Optional (for historical reference): - Past invoices (keep in Tally for reference, don't need to move to new system) - Old payment history (can be kept in Tally)
Most businesses start fresh transactions in the new system from the migration date, while keeping Tally available for historical reference.
Customer and Supplier Master: In Tally Prime: Go to Gateway of Tally → Masters → Ledger → Export to Excel. Filter by ledger group (Sundry Debtors for customers, Sundry Creditors for suppliers).
Stock Items: In Tally: Gateway of Tally → Masters → Stock Items → Export to Excel.
Current Stock Balances: In Tally: Go to Stock Summary, select current date, export to Excel.
Outstanding Balances: In Tally: Go to Outstandings → Receivables / Payables, export to Excel.
Clean up the exported data: - Remove blank rows - Standardise phone number formats (add country code +91 if needed) - Verify GSTIN numbers (15-character format) - Check that HSN codes are present for all products
Zoplax provides Excel templates for each import type. Download them from Dashboard → Settings → Import Data:
Map your Tally export to the Zoplax template columns. This usually takes 1-2 hours.
Zoplax has a Validate function that runs a dry-run import and shows all errors before actually saving anything.
Upload your customers file to Validate → it will show: - Which rows will import successfully - Which rows have errors (missing fields, invalid GSTIN, duplicate names)
Fix the errors in your Excel file and validate again. Repeat until no errors.
Once validation passes with no errors, click Import. Zoplax will import all records and show the result: "Imported 247 customers, 3 skipped (duplicates)."
After importing customers and suppliers, set the outstanding opening balances. This represents the money customers owed you and money you owed suppliers on the migration date.
In Zoplax, you can create a "Opening Balance" entry for each customer and supplier. These balances will appear in the outstanding dashboard immediately.
For the first month, create transactions in BOTH Tally and Zoplax. At month end, compare the totals. When you are confident that Zoplax numbers match, you can stop using Tally for new transactions.
After 3-6 months, most businesses stop updating Tally entirely and use it only for pre-migration history.
Importing too much historical data: Don't try to import years of invoices. Start fresh from the migration date. Keep Tally for historical reference.
Wrong opening stock date: Your opening stock import must reflect the exact stock levels on your chosen migration date. If you import yesterday's stock but start transactions from today, you will have discrepancies.
Skipping product setup: Don't rush the product master import. HSN codes, GST rates and units must be correct before you start invoicing.
Not verifying GSTINs: Invalid GSTINs will cause problems with GST reporting. Use the GSTIN verification tool to check all customer GSTINs before import.
