How to Import Your Business Data from Excel or Tally to ERP Software

The fear of data migration stops many Indian businesses from switching to ERP. This practical guide shows exactly how to import your existing data into Zoplax in under a day.

"What about all my existing data?" is the first question every business owner asks when considering ERP.

It is a valid concern. Years of customer records, product lists, pricing history, and opening balances represent significant accumulated work. Losing or corrupting this data during a system switch would be a serious problem.

The good news: data migration to Zoplax is structured, safe, and reversible. If something looks wrong, you can correct and re-import without affecting live data.

What Data to Migrate

For most businesses, you only need to migrate:

Masters (static reference data): - Customer list (name, phone, email, GSTIN, address) - Supplier list (name, phone, email, GSTIN, address) - Product / item list (name, category, unit, HSN code, GST rate, price)

Balances (current state): - Opening stock quantities (as of migration date) - Customer outstanding balances (amount owed by each customer) - Supplier outstanding balances (amount owed to each supplier)

Historical transactions (optional): - Most businesses do NOT migrate old invoices. They keep the old system (Tally or Excel) accessible for historical reference and start all new transactions in Zoplax.

The Zoplax Import System

Zoplax provides a structured import system accessible from Dashboard → Settings → Import Data.

  1. Download Template: Get the exact Excel format Zoplax expects
  2. Upload and Validate: Dry-run the import — see all errors before anything is saved
  3. Review and Import: Fix errors, then run the actual import

The Validate step is critical. It shows you exactly which rows will import successfully and which have problems — before you commit to anything.

Importing Customers

Template columns: Name*, Phone, Email, GSTIN, Address, City, State*, Pincode

  1. Download the customer template from Settings → Import Data → Customers
  2. Export your customer list from Tally (Gateway of Tally → Masters → Ledger → export filtered by Sundry Debtors) or from your Excel file
  3. Map columns: Tally's "Name" → Template's "Name", Tally's "Mobile No" → Template's "Phone", etc.
  4. Verify GSTINs — Zoplax validates GSTIN format (15 characters) automatically
  5. Upload and validate → review errors → fix → import

Common errors: - Missing state name (required for GST) - Invalid GSTIN format - Duplicate customer name (Zoplax skips duplicates, does not overwrite)

Importing Suppliers

Same process as customers, using the Suppliers template. The fields are identical.

Importing Products

Template columns: Name*, Category, Unit*, HSN Code, GST Rate (%), Selling Price, Purchase Price, Barcode, Brand

  1. Download product template
  2. Prepare your product list — ensure every product has a Unit name (e.g., Piece, Kg, Box)
  3. Check HSN codes — 4 to 8 digit codes from the HSN master
  4. Set GST rates: 0, 5, 12, 18, or 28
  5. Upload, validate, fix errors, import

Notes: - If a Category in your file does not exist in Zoplax, it is auto-created - If a Unit in your file does not exist, it is auto-created - Products with missing mandatory fields (Name, Unit) are skipped

Importing Opening Stock

After products are imported, import opening stock quantities.

Template columns: Product Name*, Quantity*

The opening stock import sets the initial stock level for each product as of your migration date. This must match your physical stock count on that date.

  1. Do a physical stock count on migration day
  2. Enter counts in the template
  3. Import → stock movements are created as "Opening Stock" type

Setting Opening Customer/Supplier Balances

  1. Go to Customers → select the customer
  2. Add an opening balance entry with the amount owed

This appears as a "Previous Balance" in the outstanding reports. Same for suppliers.

Post-Import Verification

After all imports are complete, do a spot check: - Pick 10 customers from your Tally/Excel and verify they are in Zoplax with correct details - Pick 10 products and verify quantities match your physical count - Check that the total stock value in Zoplax matches your expectation - Verify a few customer outstanding balances

If anything is off, do not panic. Zoplax allows re-importing (duplicates are skipped, not overwritten) and manual corrections.

Timeline

For a business with 200 products, 100 customers, 80 suppliers: - Data preparation (export from Tally, map to templates): 3-4 hours - Validation and error fixing: 1-2 hours - Import and verification: 1-2 hours - Total: One working day
