As businesses grow, they often end up with stock in multiple locations: a factory store, a finished goods warehouse, a retail showroom, and maybe a customer-facing display point. Managing stock across these locations with manual systems quickly becomes chaotic.
The problems: - No one knows the total stock across all locations accurately - Stock sitting in Location B is reordered because no one checked before placing the order - Inter-location transfers are not documented, creating phantom losses - Warehouse audits reveal the same item in two locations with no transfer record
An inter-state stock transfer (from your Delhi branch to your Chennai warehouse) is a supply under GST — it must be documented with a delivery challan and may require an e-way bill. Failure to treat these correctly creates ITC complications.
An intra-state transfer between your warehouse and showroom may not need a GST invoice but still needs a delivery challan for accountability. A proper system creates this documentation automatically.
A well-designed inventory system separates stock by location:
Location Master: Define all your stock locations — Factory, Warehouse, Showroom, Display, Transit.
Receipts by location: When goods arrive via purchase order, specify which location they are going to. Stock is added to that location, not to a generic pool.
Issues by location: When a sales order is fulfilled, specify which location is supplying it. Stock is deducted from that location.
Inter-location transfers: When stock moves from Warehouse to Showroom, create a stock transfer document. The source location deducts, the destination location adds. A transfer challan PDF documents the movement.
Reports by location: View stock position at any specific location, or aggregate across all locations.
With location-level stock data, purchase planning becomes much smarter:
Before raising a purchase order for an item that is showing low stock at the Showroom, check whether there is adequate stock at the Warehouse. If yes, do an inter-location transfer — no purchase needed.
This prevents the common problem of buying new stock when you actually have stock elsewhere and just forgot to check.
Start with one location. Even if you have multiple locations, begin with all stock in one system location ("Main Warehouse"). Get the team comfortable with the system, then add location granularity in phase 2.
Assign location ownership. Each physical location should have one person responsible for stock accuracy at that location. When discrepancies occur, they are the first person to consult.
Document every transfer. The discipline of creating a transfer document every time stock moves between locations (even within the same building) catches most discrepancies before they compound.
Count each location separately. During stock audits, count each location independently. Do not combine counts from different locations — the totals may hide offsetting errors.
Allowing anyone to issue from any location: Limit issue access to the location managers. Ad-hoc issues across locations create chaos in the records.
Not tracking transit stock: When goods are in transit between locations, they are neither at the source nor at the destination. Create a "Transit" location and move stock there during the journey.
Different item names in different locations: If the same item is called "M6 Bolt" in one location and "M6×10 Bolt" in another, you have a data quality problem. Maintain a single item master used by all locations.
