Extended payment terms are a fact of life in Indian business. Government and large corporate customers take 60-90 days to pay. Even smaller customers stretch to 45-60 days. Meanwhile, your suppliers expect payment in 30 days.
The gap between when you pay and when you collect is your working capital requirement. Managing it poorly means constant cash flow stress. Managing it well means running a business that is financially healthy even during slow months.
This guide gives you a practical system for tracking, following up and collecting receivables faster.
The starting point is having a real-time view of your outstanding receivables. This means: - Every invoice you have issued - The due date of each invoice - Whether it has been paid (fully or partially) - How many days it is overdue
Most businesses using Excel or Tally cannot answer this question in under 5 minutes. They have to manually check invoices against payment records. By the time they have assembled the picture, the moment to call a customer has passed.

Not all outstanding receivables need the same treatment.
Current (0-30 days): No action needed yet — these are within normal payment terms. Monitor but don't call.
Mild overdue (31-60 days): Send a polite reminder. Many customers pay within 3-5 days of a reminder — they had simply forgotten or had a backlog.
Significantly overdue (61-90 days): Call directly. Have a specific conversation about when they will pay. Get a committed date.
Severely overdue (90+ days): Escalate. Stop further credit until this is resolved. Consider involving senior management on both sides.

Payment friction increases delay. Reduce it: - Send invoice PDF by email immediately after dispatch (not at month end) - Include bank details on every invoice (account number, IFSC, QR code for UPI) - Accept UPI, NEFT, RTGS and cheques - For key accounts, set up a standing payment day (e.g., "we pay all outstanding on the 10th of each month")

Days Sales Outstanding (DSO) is the average number of days between invoice date and collection. It is the most important metric for receivables health.
Formula: DSO = (Total Receivables / Monthly Sales) × 30
If your monthly sales are ₹50 lakh and total receivables are ₹75 lakh, DSO = 45 days.
Track DSO monthly. If it is trending up, your collections process needs attention. If it is coming down, your efforts are working.
Customers who consistently pay late should not receive increasing credit. Consider: - Setting credit limits per customer in your ERP - Blocking new orders for customers with overdue invoices above a threshold - Offering early payment discounts to customers who pay in 15-20 days
