Construction ERP Software in India: Managing Projects from BOQ to RA Billing

Construction companies run on site materials, subcontractors, labour and running-account bills — none of which generic ERP handles well. This guide explains what construction ERP should cover and how Zoplax manages the full project lifecycle.

Why Construction Needs Its Own ERP

A construction business does not look like a factory or a trading company. Work happens at multiple sites, materials are issued against estimates rather than sold, payments come as running-account (RA) bills tied to work completed, and a large part of the work is done by subcontractors and daily-wage labour. Standard ERP — built around products, invoices and stock in a warehouse — simply does not map to this reality.

The result for most mid-size builders and infrastructure contractors is fragmentation: estimates in Excel, site material requests on WhatsApp, labour attendance in a register, subcontractor bills on paper, and RA bills prepared manually each month. Project profitability — the one number that matters — is never visible until the project is over and it is too late to fix.

Construction ERP brings the entire project lifecycle into one system: Enquiry → Estimation/BOQ → Project Setup → Material Indent → Purchase → GRN → Issue → Subcontractor/Labour → RA Billing → Collection → Project P&L.

The Core Construction Workflow

Estimation and BOQ

Every project starts with a Bill of Quantities — the itemised estimate of materials, labour and rates. The BOQ becomes the baseline against which actual costs are tracked. Without a digital BOQ, there is nothing to compare actuals against, so cost overruns go unnoticed.

Material Indent and Site Stores

Sites raise indents (material requests) based on what the work needs. These go through approval, then become purchase orders to suppliers. When material arrives at site, a Goods Received Note (GRN) records it and updates the site godown stock. Material is then issued from the godown to the work. This site-wise stock tracking is what prevents the classic construction leak: materials that arrive but are never accounted for.

Subcontractors and Labour

Most site work runs through subcontractors on work orders, and direct labour on daily attendance. The ERP must track work-order progress, running payments to subcontractors (with retention held back), and daily labour muster so wages are accurate.

RA Billing

Construction does not bill once at the end — it bills progressively. Running Account (RA) bills invoice the client for work completed up to a point, with retention deducted and GST applied. Each RA bill builds on the previous one. Managing this manually across multiple projects is error-prone and slow.

Project P&L

Finally, every cost — material, labour, subcontractor, equipment — and every RA bill must roll up per project, so the owner sees real-time profitability for each site, not a guess at the end.

How Zoplax Handles Construction

Zoplax includes a dedicated Construction module covering the full lifecycle:

  • Projects with budget and progress tracking
  • BOQ and Estimation to set the cost baseline
  • Material Indent with approval, and GRN that updates site godown stock automatically on receipt
  • Subcontractor masters and work orders, plus labour and attendance
  • Equipment and plant tracking
  • RA Billing with itemised bills, retention and net payable
  • PDF generation for RA bills, GRNs and work orders — professional documents ready to share with clients and subcontractors
  • A construction dashboard pulling it all together

Because it sits inside the same platform as accounts and GST, project costs and client billing feed the overall financials without re-entry.

Who This Is For

This suits civil contractors, infrastructure builders and real-estate developers handling multiple sites — businesses big enough that Excel and WhatsApp have become a liability, but who do not want a ₹15-50 lakh enterprise system. Zoplax's construction vertical is offered on the Pro plan as a complete, India-ready solution.

Getting Started

  1. Set up your first project and its BOQ
  2. Add subcontractors and site labour
  3. Raise an indent, receive material via GRN, and watch godown stock update
  4. Create an RA bill and download the PDF
  5. Review the project dashboard
